Overview and Description

The Engagement and Events Coordinator is a vital member of our team, responsible for ensuring the seamless execution of day-to-day operations and driving dynamic programming and events that enrich the innovation ecosystem. This highly interactive role combines operational excellence, exceptional customer service, event planning, and programming strategy to support our community of entrepreneurs, researchers, creatives, and corporate partners.

Working closely with leadership and key stakeholders, you’ll lead the coordination of event spaces, manage front-of-house experiences, facilitate smooth operations, and execute high-impact programs that foster engagement, collaboration, and innovation.

This position is located in uCity Square in West Philadelphia and includes responsibilities related to Wexford’s uCity Square Knowledge Community: an ecosystem of life science companies, higher education, and professional companies. Weekly interaction with community members includes about 70% life science and healthcare professionals, 10% students, 10% local neighbors, 10% other types of professional employees.

Salary Range: $60,000-$75,000 + benefits

Responsibilities:

Event Space & Logistics Coordination

  • Lead event space management from inquiry to execution—including tours, contracts, billing, and client communication.

  • Manage event logistics such as space setup, audiovisual requirements, catering coordination, and vendor management.

  • Provide hands-on support for setup and breakdown of events.

  • Manage occasional events outside of 9-5 working hours.

  • Serve as the secondary point of contact for uCity Square tenants and community members.

  • Help to manage and steward community assets like The Lawn and The Square.

  • Generate and track post-event insights & recommendations.

Program & Community Engagement

  • Collaborate with leadership to deliver a community-wide engagement strategy

  • Collaborate with leadership to plan, promote, and execute innovation programs, speaker series, workshops, and networking events.

  • Occasionally support third-party event hosts and ensure a high-quality experience for internal and external stakeholders.

  • Contribute to community-building efforts and the design of initiatives that support the growth and connectivity of the innovation ecosystem.

Marketing & Communications Support

  • Support communication efforts including newsletters, event promotions, email campaigns, and social media content.

  • Assist with digital content creation and updates for events and programs in collaboration with the marketing team.

  • Ensure communications reflect brand identity and enhance visibility of programming.

Preferred Qualifications

Education & Experience

  • Bachelor’s degree in Planning, Design, Event Management, Communications, Marketing, or a related field—or equivalent professional experience.
  • 2+ years of experience in event planning, space management, or hospitality.
  • Experience with Tripleseat or similar event management platforms preferred.
  • Background in community engagement, programming, or marketing a plus.

Work Environment & Schedule
  • Primarily on-site role with flexibility for some hybrid work.
  • Regular business hours with availability required for occasional evening and early morning events.
