Position Overview

Program Associate, BioPark

Overview and Description

The Program Associate will play a vital role in supporting the operational and programmatic success of the BioPark. This role combines event space management with programming and communications support, making it ideal for a dynamic, organized, and creative professional. The successful candidate will ensure a seamless experience for event clients while contributing to the development and promotion of engaging programs that enhance the BioPark’s Knowledge Community.

Responsibilities:

Event Space Management 

  • Serve as the primary point of contact for event inquiries and requests.

  • Conduct tours of event spaces for prospective clients and provide detailed information about available amenities.

  • Coordinate event bookings, ensuring timely execution of contracts, billing, and related documentation.

  • Collaborate with clients to confirm event details, including room setup, AV requirements, catering, and other logistics.

  • Use Tripleseat software to manage event schedules, track bookings, and communicate with stakeholders.

  • Liaise with caterers and other vendors to ensure smooth event execution.

  • Provide occasional hands-on support for event setup and breakdown.

Programming and Knowledge Community Support 

  • Assist the Knowledge Community Director with planning and executing BioPark programs, including workshops, speaker series, and community engagement events.

  • Staff BioPark programs as needed, serving as a visible and approachable representative during events.

  • Contribute to the ideation and implementation of initiatives that foster collaboration and engagement among BioPark tenants, partners, and the broader community.

Communications and Marketing   

  • Support weekly and monthly communications, including newsletters, social media updates, and email campaigns, to amplify the BioPark’s activities and programs.

  • In partnership with the marketing team, create and maintain event and program content across digital platforms, ensuring consistency and alignment with BioPark Knowledge Community branding.

Preferred Qualifications

Education 

  • Bachelor’s degree in Event Management, Communications, Marketing, or a related field, or equivalent experience.\

Experience

  • At least 2 years of experience in event planning, space management, or hospitality.
  • Familiarity with Tripleseat or similar event management software is strongly preferred.
  • Experience in programming, communications, or marketing is a plus.

Skills

  • Exceptional organizational skills and attention to detail
  • Strong interpersonal and customer service skills, with the ability to interface with a diverse range of clients and stakeholders by phone, email, and in-person
  • Proficiency in social media platforms, email marketing tools, and basic graphic design (e.g., Canva or Adobe Suite) is a plus
  • Ability to work independently and collaboratively in a fast-paced environment
  • Comfortable with occasional physical tasks such as setting up tables, chairs, or AV equipment
Schedule 

This role is primarily in-person, with flexibility for some hybrid or remote work, however, frequent on-site presence is required for daytime events, tours, and programs, as well as occasional evening events.

Salary: $60,000
