Position Summary 

The Event Operations Associate serves as the primary owner of the BioPark’s event venue business, managing all event rentals and event logistics from inquiry through execution and billing.

 

This role is responsible for maximizing utilization of event spaces, delivering exceptional customer service, coordinating vendors and facilities support, and ensuring flawless execution of both external rentals and internal events. The ideal candidate combines hospitality, operations, and event management expertise with a strong attention to detail and customer-focused mindset. This is an in-person role. Given there will be a mix of early morning and evening events from time to time, there is some flexibility in the schedule and work hours.

The University of Maryland BioPark is a cornerstone of Baltimore’s life sciences ecosystem and serves as a hub for research, commercialization, workforce development, and industry collaboration.

 

Key Responsibilities
Event Venue Management
  • Serve as the primary point of contact for event rental inquiries.
  • Conduct venue tours and assist prospective clients with event planning.
  • Manage the full lifecycle of event rentals from lead generation through event completion.
  • Coordinate contracts, certificates of insurance, billing, and client documentation.

Event Operations & Logistics 

  • Manage event logistics including room setup, AV requirements, catering, security, janitorial services, and vendor coordination.
  • Ensure event spaces are properly prepared and maintained.
  • Provide on-site event support and troubleshoot operational issues.
  • Coordinate setup and breakdown activities.
  • Schedule may include occasional early mornings, evenings, or weekends.

Systems & Administration

    • Maintain the master event calendar and reservation system.
    • Manage event management platforms such as Tripleseat.
    • Track utilization, revenue, and event performance metrics.
    • Produce event reports and operational summaries..

Customer Experience

  • Deliver exceptional service to event clients, tenants, and visitors.
  • Respond promptly to inquiries and requests.
  • Ensure events are executed professionally and efficiently.
  • Build strong relationships with vendors and recurring clients.

 

Preferred Qualifications 
  • Bachelor’s degree or equivalent experience in hospitality, event management, operations, or related fields, or 2–4 years of experience in event operations, venue management, hospitality, or conference services.
  • Experience with Tripleseat or similar event management software preferred.
  • Strong organizational and multitasking abilities.
  • Excellent customer service and communication skills.
  • Comfortable with occasional physical setup activities and evening/weekend event support.
  • Ability to manage multiple events simultaneously while maintaining exceptional attention to detail.
  • Willingness to take on other duties as assigned.

 

Compensation

The starting salary range for this position is between $60,000 and $70,000 per year.
